We will be in touch regularly before your tour and keep you updated with what we need from you and what you should expect to receive from us

Pre departure is mostly about sorting out and tidying up the paperwork.

What we will need from you

  • Booking form
  • Data sharing agreement
  • Name list
  • Rooming lists
  • Dietary requirements
  • Medical information
  • Emergency contact details for school
  • Your contact number on tour
  • Full payment

What you will need from us

  • ATOL certificate (if flight package)
  • Confirmation letter
  • Invoices
  • Final tour itinerary (see below)
  • Tour contact details including emergency numbers
  • Travel tickets (flights/train/ferry etc)
  • Any tour vouchers or pre paid tickets
  • Pre-departure phone call
  • Luggage labels

We will also discuss the finer details of the itinerary with you and will inform you of any evening activity options as soon as details are released.

We will deal with any changes / cancellations accordingly and always try to be as flexible as we are able to with these.

Prior to departure we will send you your "Tour Services", a detailed document showing your final itinerary along with any important notes and reservation numbers. This also contains your "Tour Contact Sheet" where you will find your accommodation details, your local guide’s phone number, local embassy and hospital details and TCBC’s 24 hour emergency contact numbers.

You will also receive a copy of our Emergency Procedures document, outlining the procedures TCBC has in place to deal with an emergency situation on tour.
