Booking protection promise

As lockdown restrictions ease nationally and internationally, thoughts can once again turn to travel and the planning of school trips. We want you to know that we are ready for your enquiries, that you can book with us with confidence and we want to reassure you that we will do our utmost to be as flexible and as fair as possible with our booking conditions.

We have decided that the best way to do this is to only promise what we are sure we can deliver, so you know where you stand when you book with us. Unlike many of our competitors, there are no “valid to” dates or confusing limitations and exclusions.

Minimum, flexible, refundable deposits

We’re happy to agree a deposit that works for you. We’ll only take the minimum deposit needed. All deposits will be fully refundable for a certain period, depending on the tour. Before you book, we’ll let you know how long that period will be, so you’ll always be able to get your money back if you change your mind. Sometimes we might have to make non-refundable payments to suppliers, including airlines, but we won’t do this without your prior agreement.

Flexible cancellation policy and 3 month review

When you book we will tell you the latest date you can cancel without having to pay our cancellation charges. We will leave this date as late as we reasonably can.

As many schools are booking at least 12 months in advance and as the Covid-19 situation is so fluid, 3 months before your departure date we will check that you are happy with everything, we will update you on any Covid related restrictions and give you the opportunity to make any changes to your booking. And of course, if you want to cancel or amend the tour date, you will be able to do so at that time.

Even after our 3 month review, you’ll often be able to cancel without charge because our suppliers are being flexible with their payment terms and cancellation policies which in turn gives us more flexibility.

Past the free cancellation date, we will clearly set out the postponement options and the stages of cancellation fees prior to departure so you are fully informed. You’ll find that even after the free cancellation date, there will often be options to postpone your trip without incurring significant charges.

In short, by booking a tour with us and paying us a deposit, you won’t be committing financially at that point. You will have plenty of opportunity over the coming months to postpone or cancel the trip without losing your money. This means that you can have complete peace of mind booking with us for many months to come.

Refunds

Any money you pay us will remain financially ATOL or TOPP protected at all times, so you can rest assured that if you are due a refund, you will always receive it.

We will always pay you a refund in the following situations:

  • If quarantine or lockdown restrictions in your destination country make it impossible for us to provide you with the tour
  • If the FCDO advise against travel to your destination
  • If we have to cancel your tour for any other reason

In other situations, you may need to claim on your travel insurance policy and this should protect you where you cannot travel but we can still provide the tour. You should check the terms of your policy to understand what is covered. When we quote for your tour, we’ll tell you what your insurance needs to cover in terms of Covid related cancellations. That way, you can be sure that you’ll either get a refund from us, or be insured.

If you decide to cancel the tour, then our flexible cancellation policy will apply.
